By attending this event, or agreeing to participate, volunteer or vend at Indie Fusion BookCon, you agree to follow all event policies and procedures for the full duration of the event. Indie Fusion values and respects all individuals regardless of ethnicity, gender, sexual orientation, age, disability, or religion.
All volunteers, vendors, sponsors, authors, and attendees are expected to uphold these policies. Everyone must also comply with all federal, provincial, and local laws, as well as any rules set by the Hotel or Indie Fusion BookCon.

• Respect hotel property, staff, and shared spaces.
• Follow posted signage and instructions.
• Keep noise levels appropriate in hallways and common areas.
• No blocking hallways, emergency exits, or elevators.

Vendor, Author & Sponsor Policies

Vendors, Authors and sponsors must adhere to the following:

• Setup and teardown must occur during designated times.
• Tables must remain staffed during event hours as Indie Fusion is not responsible for lost or stolen property.
• No selling items that violate hotel rules or local laws.
• Electrical needs must be approved in advance.
• Vendors and authors may not exceed their assigned space or block walkways.

All vendors, Authors and sponsors must comply with fire code and accessibility requirements.

Harassment Policy

Indie Fusion BookCon maintains a zero‑tolerance policy for harassment or discrimination of any kind. We want to provide a safe, welcoming environment for all. Any form of harassment or discriminatory behaviour will result in immediate removal from the event without refund.

Examples of harassment include:

• Stalking or following
• Offensive, unwanted, or inappropriate verbal comments
• Unwanted physical gestures or attention
• Physical assault
• Sexual comments, or gestures
• Any unwanted physical contact

Examples of discrimination include:

• Race or colour
• National origin
• Gender, gender identity, or gender presentation
• Sexual orientation
• Age
• Body size or appearance
• Disability
• Religion
• Citizenship

If you witness or experience harassment or discrimination, please report it immediately to Indie Fusion Host or Hotel staff.

Hotel & Venue Compliance

Hotel policies must be followed at all times. This includes:

• No outside alcohol in hotel event spaces.
• No open flames (candles, wax warmers, etc.) at vendor tables.
• No taping, pinning, or attaching items to hotel walls or furniture without permission.
• Food and beverage rules must follow hotel guidelines.
• Children must be supervised at all times. This is mostly an 18+ event, please use caution if bringing children.

Damage to hotel property may result in charges to the responsible party.

The Hotel will be accessible but to ensure we can properly support you, we ask that accessibility requests be submitted prior to the event.

Any personal information provided through our website or event communications will be used solely for Indie Fusion BookCon purposes. This includes event updates and vendor, author or sponsor communication

Your information will not be shared, sold, or used outside of Indie Fusion BookCon unless agreed to be put on the Indie Fusion website.
